The Challenge: Aging UPS Infrastructure and Unreliable Runtime

This Maryland healthcare regulatory agency was experiencing recurring operational challenges caused by unreliable backup power systems supporting critical network and communications infrastructure. Existing UPS units were no longer capable of delivering sufficient runtime during outages, increasing the risk of downtime for essential services and phone systems. Frequent power interruptions created operational inefficiencies and threatened business continuity, particularly during the period between utility power loss and generator activation.

The organization’s environment also relied on multiple smaller UPS systems, which complicated management and reduced overall efficiency. As the existing infrastructure continued to age, the agency required a more dependable and centralized backup power strategy capable of maintaining operations during outages while improving long-term reliability.

To address these issues, the agency engaged Data Networks to perform an APC UPS battery replacement and power infrastructure modernization project focused on improving runtime, resiliency, and operational continuity.

The Solution: APC UPS Battery Replacement with Centralized Backup Power

Data Networks delivered a comprehensive APC UPS battery replacement solution centered around the deployment of a new APC Smart-UPS 1500VA system within the agency’s data center environment. The upgraded solution was designed to provide reliable backup power for critical network and phone systems, supporting uninterrupted operation for up to one hour independently while bridging the gap until generator power became available.

The project began with a formal kickoff and planning phase to establish responsibilities, communication workflows, maintenance scheduling, and deployment procedures. Data Networks engineers worked closely with the agency’s IT staff to identify all critical systems connected to the existing UPS infrastructure and develop a controlled shutdown sequence to minimize service disruption during installation.

As part of the APC UPS battery replacement, all identified systems were gracefully powered down prior to removal of the legacy UPS unit. The outdated system was disconnected from the rack infrastructure and carefully removed without impacting adjacent equipment or cabling.

Data Networks then installed the new 2-RU APC Smart-UPS 1500VA unit within the existing rack environment and connected it to the facility’s dedicated 20-amp electrical circuit. Critical network devices, phone systems, and PoE switching infrastructure were migrated to the new UPS platform to ensure continuous protection and stable power delivery.

Following installation, all connected systems were restarted and validated. Data Networks monitored the UPS during its initial operational period to verify proper runtime behavior, power stability, and successful integration with the existing environment.

To support ongoing management, the project also included operational documentation, OEM end-user materials, and a knowledge transfer session for internal IT staff covering UPS features, monitoring, and remote management functionality.

The migration from multiple underperforming UPS devices to a centralized APC Smart-UPS platform simplifies administration while improving runtime performance and infrastructure stability. The upgraded solution also provides greater confidence that systems will remain online during short-term outages and generator startup events. As a result, the organization now operates with a modernized backup power solution that strengthens operational resilience, enhances infrastructure reliability, and supports long-term continuity objectives.
