Desktop Imaging & Deployment Services for K-12 School District

End-to-End Device Configuration, Asset Tagging, and Logistics for 429 Dell OptiPlex Systems

Q3 2023

The Challenge: Large-Scale Device Deployment with Strict Standardization Requirements

This Maryland K-12 school district required a streamlined and efficient approach to deploy hundreds of new desktop systems across multiple locations. With 429 Dell OptiPlex Small Form Factor (SFF) desktops, along with monitors, keyboards, mice, and soundbars, the district needed to ensure every device was properly configured, standardized, and ready for immediate use upon arrival.

The district faced several logistical and technical challenges, including maintaining consistency across all systems, validating compatibility with existing IT infrastructure, and coordinating delivery schedules across multiple school sites. In addition, the IT team required accurate asset tracking and inventory reporting to maintain visibility and control throughout the deployment process.

To meet these demands, the district sought a trusted partner capable of delivering comprehensive desktop imaging and deployment services while minimizing disruption to day-to-day operations.

The Solution: Scalable Desktop Imaging and Deployment Services

Data Networks delivered a full-service solution for desktop imaging and deployment services, leveraging its Staging & Configuration Center to ensure efficiency, accuracy, and quality control at scale.

The project began with close collaboration between Data Networks engineers and district IT staff to validate imaging requirements and complete technical specifications. Using the Microsoft Deployment Toolkit, Data Networks deployed the district-provided master image onto test devices for validation. Upon approval, the image was replicated across all 429 Dell OptiPlex SFF desktops, ensuring a consistent and standardized environment.

Each system underwent a rigorous configuration and validation process, including domain connectivity verification, SCCM and Intune installation, BIOS configuration updates, and confirmation of compliance with administrative update policies. Data Networks also applied district-provided asset tags and maintained detailed inventory records, delivering a CID-formatted report with service tag tracking for every device.

Beyond imaging, Data Networks managed the full logistics lifecycle. Equipment was received, inspected, and prepared at the configuration center before being securely packaged and scheduled for delivery. Inside delivery services ensured all equipment was placed in designated areas at each school location.

Onsite deployment services included installation of each desktop system, connection of monitors and peripherals, and de-installation of legacy equipment. Data Networks also provided inventory tracking for removed devices, supporting the district’s asset management and refresh lifecycle.

The Outcome: Efficient, Consistent, and Fully Managed Device Deployment

Through its comprehensive desktop imaging and deployment services, Data Networks enabled the district to successfully roll out 429 fully configured desktop systems with minimal disruption. Each device arrived ready for immediate use, reducing the burden on internal IT staff and accelerating time to productivity for students, teachers, and administrators.

The structured imaging and validation process ensured consistency across all systems, while detailed inventory reporting improved asset visibility and accountability. Coordinated logistics and onsite installation services streamlined deployment across multiple locations, eliminating common bottlenecks associated with large-scale rollouts.

By delivering an end-to-end solution— from imaging and configuration to delivery and installation— Data Networks provided the district with a scalable, repeatable framework for future technology deployments, ensuring long-term operational efficiency and success.
