Modernizing Email and Identity Management

This Maryland-based roofing and restoration company was operating with email services hosted on its managed service provider’s multi-tenant Exchange environment, limiting administrative control over user accounts, mailbox configurations, security policies, and long-term IT strategy. The company also lacked synchronization between its on-premises Active Directory environment and Microsoft Entra ID, creating inefficiencies in identity management and user authentication.

Additionally, Microsoft productivity applications were not centrally managed or consistently updated across user devices. This created security risks, compatibility concerns, and inconsistent user experiences while limiting the company’s ability to leverage modern Microsoft 365 collaboration and security capabilities.

Existing Solution

To address these challenges, the roofing company partnered with Data Networks to implement a comprehensive Microsoft 365 email migration project that would modernize email services, unify identity management, strengthen security, and improve the end-user experience across multiple locations.

Executing a Seamless Microsoft 365 Email Migration

Data Networks began the engagement with detailed migration planning and preparation activities. The team verified Microsoft 365 licensing, assessed mailbox requirements, gathered user information, and established the foundation for a successful migration. A key project objective was the migration of 28 user mailboxes and 200 GB of email data from a legacy Exchange 2016 multi-tenant environment into an existing Microsoft 365 tenant while preserving the company’s existing email domain.

As part of the Microsoft 365 email migration, Data Networks implemented a staged migration approach designed to minimize downtime and disruption. Mailboxes were pre-staged before the final cutover, allowing the majority of data to be transferred in advance while reducing the impact on users during the transition window.

Following migration, Data Networks coordinated the reconfiguration of Outlook profiles for all users, ensuring seamless access to email, calendars, contacts, and Microsoft 365 services. The project supported employees across multiple office locations, providing a consistent user experience regardless of geography.

The migration delivered full Exchange Online functionality while eliminating the limitations associated with the company’s previous multi-tenant hosting arrangement.

Strengthening Security and Simplifying User Management

Beyond email modernization, Data Networks implemented Microsoft Entra ID synchronization using Azure AD Connect to establish a unified identity platform. This integration synchronized the company’s on-premises Active Directory environment with Microsoft Entra ID, enabling streamlined user management and a more seamless authentication experience.

The project also included the deployment of Microsoft 365 productivity applications through centralized policy-based management. By automating application deployment and updates, the company gained greater consistency across user devices while reducing administrative overhead and improving security compliance.

To further strengthen the environment, Data Networks applied foundational Microsoft 365 security controls, including mail security, anti-phishing protections, and spam filtering capabilities. These measures enhanced protection against common email threats while improving the overall security posture of the company.

Following deployment, Data Networks performed comprehensive validation testing to confirm email functionality, user access, application deployment success, and directory synchronization health. Knowledge transfer sessions and onboarding guidance were provided to help users successfully adopt the new environment and take advantage of Microsoft 365 capabilities.

The completed Microsoft 365 email migration project delivered a secure, scalable, and modern communications platform that improved administrative control, strengthened security, simplified identity management, and enhanced productivity across the roofing company. By transitioning to Microsoft 365 and integrating Microsoft Entra ID, the company established a foundation for future cloud initiatives while reducing reliance on legacy hosted infrastructure.
