Secure Microsoft Teams Enablement with RingCentral Integration for Local Community Bank
The Challenge: Disconnected Collaboration and Limited Microsoft 365 Adoption
This local community bank was seeking to modernize internal collaboration and maximize the value of its Microsoft 365 investment while maintaining its existing RingCentral voice environment. Although the bank already owned Microsoft 365 E5 and Teams Enterprise licensing, Microsoft Teams collaboration capabilities such as chat, channels, meetings, file sharing, and presence had not been fully adopted across the organization.
The bank relied heavily on RingCentral for all communications, creating operational silos that limited integration between communication and productivity workflows. Employees lacked a unified collaboration experience, and users could not access click-to-dial functionality or real-time presence synchronization directly within Microsoft Teams.
In addition, the organization did not have a formal Microsoft Teams governance framework in place. Naming conventions, team creation policies, expiration settings, retention management, and archiving controls had not been standardized, increasing the risk of inconsistent collaboration practices and governance challenges.
As a financial institution, the bank also required enhanced external access controls, guest access governance, data protection policies, and security configurations aligned with regulatory and compliance requirements. The organization needed a secure and governed Microsoft Teams deployment that would improve collaboration without disrupting existing voice services or introducing unnecessary licensing costs.
To address these challenges, the bank partnered with Data Networks to deliver a secure and fully integrated Microsoft Teams deployment solution.
The Solution: Microsoft Teams Deployment with RingCentral Integration
Data Networks designed and implemented a comprehensive Microsoft Teams collaboration deployment that enabled full Teams functionality while preserving the bank’s existing RingCentral voice infrastructure.

The engagement began with discovery and governance planning workshops focused on defining collaboration standards, external access requirements, team creation policies, naming conventions, retention strategies, guest access controls, and lifecycle management procedures. Data Networks then developed a high-level design and governance framework tailored to the bank’s operational and compliance needs.
To support hybrid identity and secure authentication, Data Networks configured Microsoft Entra Cloud Sync to synchronize on-premises Active Directory with Microsoft Entra ID. Teams licensing and service plans were enabled for all users, allowing the organization to activate Microsoft Teams collaboration capabilities without additional licensing costs.
The project included full configuration of Microsoft Teams collaboration features, including chat, channels, meetings, file sharing, and presence for up to 113 users across Windows 10 and Windows 11 endpoints managed primarily through Ivanti.
Data Networks also configured key Microsoft 365 security and compliance capabilities, including:
- Conditional Access policies requiring MFA and compliant devices for Teams access
- Sensitivity labels for secure collaboration and data classification
- Data Loss Prevention (DLP) policies
- External access and guest collaboration controls
- Teams meeting policies and governance enforcement
- Team naming, expiration, and archiving policies
To preserve existing voice services while enhancing the user experience, Data Networks coordinated closely with the bank’s RingCentral team to deploy the native RingCentral embedded app within Microsoft Teams. This integration enabled click-to-dial functionality, RingCentral call control directly from Teams, and synchronized user presence between platforms— all without implementing Microsoft Teams Phone System, Calling Plans, or Direct Routing.
The deployment included pilot testing with 15 users to validate governance controls, user experience, RingCentral integration functionality, and compliance policies prior to full production rollout. Following successful validation, Data Networks executed a phased deployment strategy to onboard the remaining users with minimal disruption.
In addition to the technical implementation, Data Networks delivered customized quick-start guides, adoption materials, knowledge transfer sessions, and change management support to accelerate user adoption and maximize collaboration effectiveness.
The Result: Secure, Governed Collaboration Without Voice Disruption
The completed Microsoft Teams deployment provides the bank with a modern, secure, and highly governed collaboration environment fully integrated into its existing Microsoft 365 ecosystem.
Employees now benefit from centralized communication and collaboration capabilities within Microsoft Teams while continuing to leverage RingCentral for enterprise voice services. The integrated experience enables seamless chat, meetings, file sharing, click-to-dial functionality, and real-time presence synchronization from a single interface.

The deployment also established a long-term governance framework that improves operational consistency, enhances compliance readiness, and simplifies Teams lifecycle management. By implementing security controls such as MFA, Conditional Access, DLP, and sensitivity labels, the organization strengthened its cybersecurity posture while supporting secure collaboration both internally and externally.
Because the solution leveraged the bank’s existing Microsoft 365 E5 and Teams Enterprise licensing, the organization achieved significant productivity improvements without incurring additional platform licensing costs or requiring disruptive telephony migrations.
With a secure collaboration foundation now in place, the bank is positioned to continue expanding its Microsoft 365 capabilities while maintaining operational continuity, regulatory alignment, and a unified user experience across the organization.
