Replacing Aging On-Premises Storage with a Modern Cloud Platform

This Maryland-based engineering consulting firm relied on two aging on-premises storage systems to support daily operations and long-term document retention. The primary storage platform consisted of a Linux SAMBA file server hosting approximately 1TB of shared business data for 25 users, while a separate USB-based archive drive housed an additional 1.5TB of historical documents. Both systems were accessible only through the local network, limiting flexibility and creating challenges related to scalability, accessibility, and long-term data protection.

The firm sought a cost-effective strategy to modernize its storage environment while leveraging existing Microsoft 365 investments. The project required a solution that would provide secure collaboration capabilities for active business files, preserve access to archived information, and ensure critical data was protected against accidental deletion, corruption, or ransomware threats.

To achieve these objectives, the firm partnered with Data Networks to execute a comprehensive SharePoint Online migration and cloud storage modernization initiative.

SharePoint Online Migration Improves Collaboration and Accessibility

At the core of the project was a strategic SharePoint Online migration designed to move active business data from the legacy Linux SAMBA file server into Microsoft 365’s cloud collaboration platform. Data Networks expanded the firm’s existing Microsoft 365 environment by deploying additional SharePoint Online licenses, increasing storage capacity to support the full migration while ensuring all users could access the new cloud-based platform.

Data Networks then migrated approximately 1TB of file share data from the on-premises server into SharePoint Online. The new environment was configured to provide read-write access for all 25 users while granting full administrative control to the firm’s two IT administrators. By leveraging SharePoint Online and OneDrive for Business, users gained secure access to files from virtually any location while benefiting from improved collaboration capabilities and simplified file management.

The migration eliminated reliance on aging local storage infrastructure and established a modern workspace that could scale alongside the firm’s future business requirements. Data Networks also assisted with OneDrive for Business deployment planning to support adoption across the user community.

Creating a Cost-Effective Archive and Data Protection Strategy

In addition to the SharePoint Online deployment, Data Networks implemented a cloud-based archive solution utilizing Microsoft Azure. An Azure subscription, storage account, and Azure Blob Storage container were deployed using the Cool Access Tier to provide a highly cost-effective repository for historical documents that required infrequent access.

Approximately 1.5TB of archived data was migrated from the existing USB archive drive into Azure Blob Storage. Permissions were configured to provide read-only access for standard users while maintaining read-write capabilities for administrators. Data Networks also deployed Microsoft Azure Storage Explorer for administrative management of the archive environment.

To protect critical collaboration data, Data Networks implemented Veeam Backup as a Service for Microsoft 365. This solution provided comprehensive backup and recovery capabilities for SharePoint Online, OneDrive, Microsoft Teams, and Exchange Online, ensuring business-critical information remained protected through long-term cloud retention and recovery options.

Following implementation, Data Networks conducted knowledge transfer sessions, reviewed administrative consoles with the firm’s IT team, and delivered complete documentation for the SharePoint Online, Azure Storage, and Veeam environments.

The completed SharePoint Online migration transformed the firm’s storage infrastructure from aging on-premises systems into a secure, scalable, and cloud-based platform. By combining Microsoft 365 collaboration tools, Azure archival storage, and Veeam data protection, Data Networks delivered a solution that improved accessibility, reduced infrastructure complexity, and positioned the firm for long-term growth and operational efficiency.
