Addressing End-of-Support Risks and Licensing Challenges

This mid-sized advertising agency faced several infrastructure challenges driven by aging operating systems, expiring support agreements, and evolving software licensing requirements. Four production virtual servers were still operating on Microsoft Windows Server 2012 R2, which had reached end of support, creating increased security, compliance, and operational risks.

At the same time, the agency needed to update Windows Server licensing across both on-premises and Microsoft Azure environments while maintaining cost control. Existing Windows Server Client Access Licenses (CALs) also required modernization to support current users and ensure continued compliance with Microsoft licensing requirements.

Additionally, the warranty and manufacturer support agreement for the agency’s primary virtualization host, a Dell PowerEdge R740xd server, was approaching expiration. Extending support coverage was critical to maintaining infrastructure reliability and minimizing risk associated with hardware failures.

Creating a Cost-Effective Windows Server Modernization Strategy

To address these challenges, Data Networks designed a phased Windows Server 2022 upgrade initiative focused on extending infrastructure lifespan, maintaining compliance, and reducing unnecessary capital expenditures.

Rather than replacing functional workloads or deploying entirely new infrastructure, the project leveraged a combination of in-place operating system upgrades, strategic virtual machine deployment, and warranty renewal services to maximize the value of existing investments.

This approach allowed the agency to modernize critical systems while avoiding unnecessary hardware purchases and minimizing disruption to day-to-day operations.

Upgrading Domain Controllers and Business-Critical Systems

As part of the Windows Server 2022 upgrade, Data Networks performed comprehensive backup validation and snapshot creation for all affected workloads before any upgrades were initiated. This provided a confirmed rollback strategy and reduced risk throughout the migration process.

The project included in-place upgrades of existing Active Directory domain controllers from Windows Server 2012 R2 to Windows Server 2022. By leveraging Microsoft’s supported upgrade path, Data Networks was able to preserve existing configurations, services, and functionality while bringing the environment onto a fully supported operating system platform.

Certain business applications required a different modernization approach due to vendor-specific requirements and application dependencies.

Rather than performing in-place upgrades, Data Networks deployed new Windows Server 2022 virtual machines to host specialized application workloads and supporting databases. The engineering team built and validated new virtual servers specifically designed to support these critical applications while providing a modern, supported operating system platform.

To ensure a seamless transition, Data Networks coordinated with the agency’s third-party application support provider, granting secure remote access to the newly provisioned environments so application configuration and validation could be completed according to vendor requirements.

This approach minimized risk while ensuring compatibility with application-specific support requirements.

Delivering a Supported and Sustainable Infrastructure Platform

Following implementation, Data Networks completed comprehensive testing and validation activities across all upgraded and newly deployed systems. Functionality, accessibility, and operational readiness were verified before project closeout.

By combining operating system modernization, licensing updates, warranty renewal services, and targeted application migration support, the agency successfully eliminated unsupported Windows Server 2012 R2 workloads while preserving existing infrastructure investments.

The completed project established a fully supported Windows Server 2022 environment, improved compliance with Microsoft licensing requirements, extended the life of critical hardware assets, and created a more secure and sustainable platform for future growth.
