Exchange to Microsoft 365 Migration

Seamless Cloud Email Migration and File Services Modernization for Maryland-Based Consulting Organization

This Chicago-Based Consulting Organization, acting as a Master Contractor for a non-profit community housing organization, was facing increasing challenges with its aging on-premises Microsoft Exchange Server 2013 environment. The legacy infrastructure required significant time and resources to maintain, secure, and operate, creating unnecessary technical debt and limiting scalability. To modernize their IT environment and improve operational efficiency, the Consulting Organization partnered with Data Networks to execute a comprehensive Microsoft Exchange migration to Microsoft 365, while also transitioning key file services to the cloud.

Data Networks began the project with a thorough discovery and analysis phase, evaluating the customer’s existing on-premises Active Directory environment, any Azure Active Directory presence, and the full Exchange Server 2013 configuration. This included a detailed review of mailbox data, public folders, calendar systems, address books, and any integrated applications, as well as existing email security, encryption, anti-spam, backup, and disaster recovery solutions. This assessment ensured a well-planned and low-risk migration strategy aligned with the customer’s goals.

Following discovery, Data Networks deployed Azure AD Connect to enable seamless directory synchronization between on-premises Active Directory and Azure Active Directory, reducing end-user friction and simplifying identity management. Microsoft 365 licenses were provisioned and assigned to all users, preparing the environment for migration.

The core of the engagement involved migrating up to 5TB of data, including 50 user mailboxes, shared calendars, public folders, and address books, from Exchange Server 2013 to Microsoft 365. Data Networks leveraged proven migration tools and methodologies to ensure data integrity, minimal downtime, and a smooth transition for end users. Existing email security and data protection investments were preserved wherever possible to maximize value.

In addition to the Exchange to Microsoft 365 migration, Data Networks supported a broader cloud transformation by migrating on-premises file server data to OneDrive and SharePoint, enabling secure, web-based access and collaboration. To ensure successful adoption, end users were provided with clear communication, access to Microsoft 365 portals, and training resources to minimize disruption and accelerate productivity. The result was a fully modernized, cloud-based environment that reduced infrastructure overhead, enhanced security, and positioned the Consulting Organization for scalable, long-term growth with Microsoft 365.
